How to Import Contacts to the Winback Lost Clients Campaign

This help article covers how to import contacts into the Winback (Lost Clients) campaign.

Overview

The Winback campaign is designed to re-engage lost/inactive clients. If you have a list of inactive clients from your previous system, we can import those and launch the campaign.

Steps

1. You'll need a .CSV file with the following columns, at minimum:

  • First Name
  • Last Name
  • Email
  • Phone
  • X-Date

*Note, both email and phone are not required, but recommended to utilize email and SMS messages that are part of the campaign.

2. In Better Agency, go to Add Contacts, and click Import Contacts in the top right.

3. Click "Choose File", navigate to your .CSV file and click Open.

4. Select Upload Type "Inactive".

4. Check the box indicating you have permission to send email & SMS to these contacts.

5. Click Upload.

6. Under the "Better Agency Contact Fields" column, select the field in Better Agency to map each column from your file. *Note X-Date should be mapped to the "X Date" field in Better Agency.

7. Click Next.

8. Review the example mapping shown to confirm the data is correctly mapped.

9. Click "Confirm All Mapping".

10. One the next and final page, click the "Launch Winback Campaign" checkbox.

11. Click Import.

FAQ's

Q. I already have my inactive contacts in Better Agency, how can I launch the Winback campaign for them?

A. You can do this a couple of ways. First, after you cancel the last active policy on a contact, you will be prompted to decide if you want to launch the Winback campaign. The campaign will start 60 days prior to the date you select.

Secondly, from the contact list, you can filter for inactive contacts, or select contacts individually, go to Actions, and add them to the Winback campaign from there. In this case, since you are not specifying an X-Date, the system will set the Winback X-Date to 60 days from today, which will effectively start the campaign communication in 10 days.

Q. Why doesn't the Winback Campaign x-date match the X-Date shown on the contact record?

A. The X-Date shown on the contact record is for the X-Date Campaign, designed for lost prospects (not clients). The x-date for the Winback Campaign is different, and is not currently shown on the contact record.

Q. How can I manage clients in the Winback campaign?

A. Use the Winback Report to monitor who is in the campaign. Once a client is re-engaged, use the report to move them into the Sales Pipeline. Doing so will also remove them from the campaign.

Q. Can I launch the Winback campaign from the renewal pipeline?

A. There is not currently a way to do this. The best option would be to click into the contact record once they are inactive, and follow the prompt to launch the campaign. Or, set a task for yourself to manually start the campaign 60 days before their x-date.
